BIG TOY GUIDELINES

1. Purpose of the Big Toys and Priority Use

The primary purpose of the Big Toys is to assist Rocky Mountain District churches in the building of relationships with unbelievers so that they may come to know Jesus Christ and be included in His church. Requests to use the Big Toys will be prioritized according to these criteria. 

2. Scheduling the use of the Big Toys for your event

Once you have completed and returned to the District Office The Big Toy Outreach Request & Agreement  Form, the District Office will call your contact person to finalize the dates of your event.  The following will be helpful in planning your event:

As much as possible we will attempt to accommodate requests on a first come, first served basis. 

Please be prepared with a second and even a third back-up date should your preferred date not be available.

Because of the great distances between places in our district, at times, the toys may be located regionally to maximize their use.  Your understanding and flexibility in scheduling your event is appreciated.

4.  Training

Churches desiring to use the Big Toys are asked to have trained personnel responsible for the set-up and use of the toys.  Training will be held  as needed.  Exceptions may be made on a case by case basis by the district administration.

5.  Insurance

Because the Big Toys and related equipment are owned by the Rocky Mountain District, the district will carry liability insurance under its present liability and umbrella policy.  A copy of this rider is available through the district office.    Churches and entities using the toys should check with their church insurance provider to insure that their local church liability coverage is also in effect.

6.  Planning your outreach event

To provide reasonable long term use of the toys it is suggested that toys be used for a maximum of 4 hours at any single event.  In certain circumstances the toys may be used morning and afternoons for multiple events.

Weather conditions are an important factor in using the toys.  Toys must not be used under windy weather conditions.  As a general rule, normal weather conditions in the Rocky Mountain District  provide for outdoor use during the months of April – October and indoor use otherwise. 

These toys will prove most useful in attracting non-churched people to your event.  In most cases however, they should not be the only or even primary attraction.  Use them in combination with some other feature. 

Outreach opportunities at which the Big Toys may be used are endless.  Since most churches will be limited to using the toys only once a year,  careful consideration should be given to using them most effectively.

7.  Pick-up and return of the Big Toys

Any church or camp requesting the use of the Big Toys is responsible to transport the toys to and from the district office or their last scheduled location.  A full size pickup or SUV must be used to pull the trailer and must be equipped to pull a GVWR capacity of 3500lbs , be equipped with a 2” ball and must have adequate personal insurance.  

All churches should work with one another to accomplish the necessary transportation arrangements for the Toys.  The District is not able to supply transportation arrangements as in last year.  

8.  Unloading, Set-up, Loading & Care of the Toys

Unloading, set up, and loading  of the Big Toys is a very significant physical responsibility.  Because of the bulk and weight of the Big Toys you will need at least 5 able bodied men to move and set up these toys.

The following must be followed to prevent accidents and unnecessary abuse of the toys.

Wind or wet weather –do not attempt to set up the toys or inflate them if there is any significant wind or wet weather.  If wind comes up, it is important to remove all participants and deflate the toys ASAP.

Set up location – it is preferred that the toys be set up on grass.  If  necessary they may be set up on asphalt.  Do not set the toys up on a gravel parking lot.

Toys should be placed sufficiently apart from each other to allow sufficient room for supervision.

When placing the toys take into consideration the location of your power source.  When  running extension cords, be careful to secure them adequately to prevent accidents.

Place sufficient blue tarps on the ground where the Big Toys are going to be placed
.  This will protect the bottoms of the toys.  This is especially important if you set the toys up on asphalt. 

When used outside, secure each toy with the stakes provided prior to beginning inflation. 

It is important to designate a responsible supervisory person for each toy.

9.  If you plan to use a generator to power the Big Toy inflation fans please contact the District Office for further conversation.

10.  Supervision

Churches and camps must  provide adequate supervision for any and all events when using the Big Toys.  Adequate supervision includes at least one person 18 or older who clearly understand and is committed to enforcing the following rules.

All participants must remove their footwear
when playing on the Big Toys. Failure to do so will result in significant wear and tear to the big toy fabric.

Children under 10 must be accompanied by a parent or responsible adult.

All participants should be in good health.  Persons with a history of back, neck, knee or joint injury, respiratory problems or who may be pregnant should not participate. 

Physical contact with other participants is not allowed.  No unnecessary roughness.

No flips are allowed on any of the toys.

No food, drink or chewing gum is allowed on the toys.

Remove eyeglasses, contact lenses, jewelry, pins or any sharp objects before participating.

At any time, limit the number of participants on the toys to the number suggested.

Be certain that all participants have read, understood and agreed to the game rules prior to participating.


11.  Accidents

The following guidelines should be followed if  an accident occurs during the use of the Big Toys:

Get the required medical treatment immediately.

Notify the parent or a family member as soon as possible.

Notify the District Office as soon as possible.

Notify your church or entity insurer as soon as possible.


12.  What to do if the toys and or related equipment need repair

Any damage to the toys and or related equipment must be reported immediately to the District Office.  Do not attempt any repair without first contacting the District Office.  Specific instructions regarding repair may only be given by the District Office.


13.  Contribution to the Maintenance of the Toys

The Big Toys have been purchased with a grant from the District Church Planting/ Redevelopment fund.  Maintenance costs of repair, insurance and others, along with the purchase of future toys will be provided through a designated fund.  Churches and entities using the toys are asked to provide a contribution to this fund following the use of the toys.  It is preferred that the toys not be used in a fund raising event.
